Walk and Wheel Project Privacy Notice
Who we are and what we do
The Active Travel and Social Prescribing Project - Walk and Wheel Gateshead is part of Gateshead Council. We are based at Gateshead Civic Centre and we work in community venues to provide one to one and group support to help you get out and about walking and cycling.
This might include guided walks, map reading, leaning to ride a bike, guided cycle rides, bike maintenance training
This privacy notice provides specific information about how Walk and Wheel processes your personal data and is an addition to the information contained in our Corporate Privacy Notice.
What type of information is collected about you
We collect personal information to understand your needs and provide services. Information may include:
- name
- address
- age
- gender
- email address
- health Information (in so far as such information is provided by you directly to Walk and Wheel staff)
- racial/ethnic origin
- sexual orientation
How we collect information about you
We collect information about you from referrals and directly from you.
Referrals to Walk and Wheel are made by your GP to the link workers at the surgery with your consent only. The referral will provide basic contact details for you. Once referred, you will be contacted by Walk and Wheel and asked to complete a questionnaire which could be on paper or online, whichever is easiest for you.
If you agree we will also send you a follow up questionnaire after participation in the project to see if it has been positive and whether it has encouraged you to walk or cycle more often.
Why we need your information
Our purpose for collecting your anonymised data is to provide the Walk and Wheel service to you and the lawful basis for our processing data is public task.
We also collect information from you so that we can find out how the Active Travel project has benefited local people and our lawful basis for this processing is consent.
We are required to report on our progress to the Department of Transport (DFT), who funded the project, and Sheffield Hallam University (SHU), who are evaluating the national project. The DFT / SHU will only see anonymised information about you and the other people taking part in the projects.
The legal basis for sharing anonymised data for use by Active Travel England and Sheffield Hallam University is' public task.' The collection and use of this data in the national evaluation by Active Travel is being used by the government to inform the delivery of future policy.
Who your information can be shared with
Our Corporate Privacy notice sets out the general types of information sharing that the Council carries out to fulfil statutory obligations, legal requirements and service delivery.
If we wish to share your information with other council services or third parties for an alternative purpose we will ask for your permission.
Personal data collected will be anonymised and shared with both Active Travel England and Sheffield Hallam University for use in the national evaluation of the pilot programme.
How long we will keep your information
We keep your information for as long as we need, in order to provide the services to you. This will differ depending on the services you receive.
We may also need to keep your information in accordance with legal or other obligations. Where we have no need to keep your data it will be securely destroyed.
We have Record of Processing Activity (a requirement under the GDPR) which sets out the specific retention periods applicable in different circumstances.

Where your information is held
Gateshead Council store your information on a database, which is a secure IT network at Gateshead Council.
No information is held outside of the UK.
How you can update your information
The accuracy of your information is important to us to be able to provide relevant services more quickly.

Gateshead Council always acts upon your choices around what type of communications you want to receive and how you want to receive them. This includes any offers that we might send out from the Walk and Wheel project
