Training terms and conditions - March 2022
To ensure that courses are able to run smoothly and with a maximum attendance it is important that you read the following information in relation to course bookings.
- When considering a course please ensure you belong to the appropriate target audience.
- Bookings are taken on a first come first served basis.
- Unless otherwise stated, settings will be allocated a maximum of two places per course.
- Ensure that you are aware of any charges that might apply to training prior to booking.
- Requests for training (unless otherwise stated) will only be accepted by requests made via the Provider Portal. Please ensure that your contact details are up to date on the portal and the names of all your staff members have been submitted to the Portal.
- You are advised to make a note of the course date, time and venue in your diary upon completing an online booking request.
- You are required to arrive in good time for the start of all training (face-to-face and virtual). The times advertised are the start and finish times of the training. You are strongly advised to be at the venue (or in the lobby while on virtual training) at least five minutes prior to the start of the training.
- Delegates arriving late to events can disrupt the flow of the sessions. Trainers are entitled to turn away late comers.
- Delegates will have their qualification and training information stored on a database monitoring system that is managed by Gateshead Early Years and Childcare Service.
- Where a course you wish to attend is oversubscribed you will be informed that the course is full. If a place does become available, you will be notified.
- Delegates must sign an attendance sheet at the start of each course for face-to-face training and sign in using the CHAT facility in at the start of virtual training.
- Please complete any evaluation requests for the courses as these allow us to assess course effectiveness and make changes where necessary.
Training requests and booking process
- All training requests must be made online using the Provider Portal .
- Please note that submitting a booking request does not guarantee a place on training.
- For free of charge courses (apart from Designated Person, Designated Person Network Meeting and Child Protection Training) confirmation letters will be emailed within one week of your booking. For all Designated Person and Child Protection Training a confirmation letter will be emailed four weeks before the course start date. For virtual training, a link is sent along with the confirmation. The link to virtual training needs to be kept safe and is needed to join the training by clicking onto it 5-10 minutes before the start of the training.
- For courses that require payment, payment is required before confirmation of your place can be given. If payment has not been received, you will not be given a place.
- Places are limited, early booking is recommended.
- Unless otherwise stated, settings will be allocated a maximum of two places per course.

Certificates
Please note we no longer issue certificates for training other than Basic Child Protection and Designated Person Training. Certificates for the training listed below will be issued by the training provider upon successful completion, however your name must have been booked on to the portal:
We reserve the right to cancel or amend the date/time of any sessions within this programme, due to low registration or for any other reason. Where we cancel or amend the date/time of any sessions, we will endeavour to give you as much notice as possible of the cancellation/amendment.

- Name of person you wish to cancel
- Setting name (Childminders - please include the first line of your address)
- Course name
- Course date
'Whole Setting' Child Protection Training
Gateshead Council's Early Years and Childcare Service are able to offer Child Protection training to settings who require a group of staff to be trained together. Settings who wish to commission this training will be charged for two members of Gateshead Council's Early Years and Childcare Service to deliver the training, within your own setting (subject to room and trainer availability) or virtually. The cost of this training is £334.
Each request for training will be considered separately by the Early Years & Childcare Support team managers and will be prioritised according to need. A minimum of eight delegates and a maximum of twenty-four delegates can be trained (subject to venue capacity). Settings can 'merge' with other Gateshead childcare providers to reduce costs - in these cases the charge will be applied to the setting who completes the booking form.
It is the responsibility of the setting paying the invoice to make payment arrangements from other settings involved in the training. Gateshead Council's Early Years and Childcare Service are not responsible for any agreements (including cancellation / nonattendance) between settings.
If a commissioned course is cancelled by the setting money will not be refunded but an alternative date will be arranged between the appropriate provider and Early Years & Childcare Service staff.
Payment: Gateshead Council will invoice your setting for the cost of the course once the booking form has been received. Please complete the 'Whole Setting' Child Protection booking form and submit it to: fis@gateshead.gov.uk. Confirmation of the training session will only be sent once payment has been received.
We reserve the right to cancel or amend the date/time of 'whole setting' Basic Child Protection training, due to staff sickness or for any other reason. Where we cancel or amend the date/time of any sessions, we will endeavour to give you as much notice as possible and a re-arranged date will be agreed.

Venue Information
Virtual training
You can join virtual training by downloading the freeTEAMS app onto your laptop, tablet or mobile phone. Once this has been done, you need to click on the link provided to you by FIS (sent with confirmation of your booking) around 5-10 minutes before the training starts. If you have any problems joining the training - contact the trainer, NOT FIS.
